Below is a comprehensive list of Frequently Asked Questions conference speakers and attendees may have concerning ICED 2018.
When can I check in for the conference? Conference check-in for all conference attendees will open at 2:00pm on Tuesday, June 5 and be available during the remainder of the conference. If you registered for a pre-conference workshop, you can check-in for the conference as early as 8:00am on Monday, June 4. The check-in desk will open for pre-conference attendees only at 8:00am on Monday, June 4 and again for pre-conference attendees only on Tuesday, June 5 at 7:30am.
Where do I check in for the conference? When you arrive at the Crown Plaza Ravinia Hotel, follow the ICED 2018 directional signs to check-in. (See the Travel page of the ICED 2018 website for more information on getting to the hotel.)
What should I bring to check-in? Don’t worry if you forgot to print your conference registration ticket. All we need to check you in is your first and last name. You must be registered for the conference prior to check-in. We will have a computer available for anyone who still needs to register. Onsite registration will be by credit card only.
Is internet provided? Yes! Everyone staying at the conference hotel will be provided Wi-Fi log-in information upon check-in to the hotel. All other conference attendees will receive the Wi-Fi log-in information when you check in for the conference.
How will I let the hotel know about my dietary restrictions? The conference check-in desk has a list of everyone who indicated they are vegetarian or vegan. You will receive a card to give to your server for the Wednesday night dinner. All other meals at the hotel are served buffet style.
What technology will be available in the conference session rooms? There will be a laptop with internet access and projector in your presentation room. Please bring your presentation on a USB flash drive or have it saved online to allow you to access it on that laptop. Presenters will also be responsible for bringing any necessary adapters they may need.
Is there an ICED 2018 PowerPoint template I can use? Yes! The ICED 2018 PowerPoint template is available for download here.
Will the rooms have white boards or flip charts? Yes. Each room will be equipped with 1 easel, Post-it flip chart, and markers.
What are the size requirements for posters? 36” tall x 48” wide or 91.44cm tall x 121.92cm wide
When and where will I hang my poster? Posters can be hung as early as 5:00pm on Thursday, June 7. The number on your poster in the conference program provided at check-in will correspond to the number on the poster board where you will hang your poster.
How long should my presentation be? Each paper has 20 minutes for presentation. We recommend that you reserve 5 minutes of your time for questions and discussion.
Who makes sure each session ends on time in my room? The final presenter during your session is designated as time keeper for your session. The time keeper will ensure each session does not take more than the allotted 20 minutes.
What if one of the presentations in my room cancels? For sessions with fewer than 4 papers scheduled (due to cancellations, etc.), please keep your presentations to the 20-minute time limit. The remaining time can be used for additional discussion of common or interesting themes from among the papers.
How long should my workshop be? Workshops are 1 hour long. If your workshop is scheduled during a 1.5 hour concurrent session, please keep the workshop to 1 hour in length.
How long should my panel last? Panels are 1 hour long. There will be no additional facilitator or moderator for your session. It will be the responsibility of the panel to guide discussion and ensure the session begins and ends on time. Our suggested format for panels is for each speaker to introduce themselves and their topic in a 7-10 minute segment as time allows, then leave the rest of the time for questions and discussion.
Georgia Aquarium Awards Banquet & Celebration
What is it? A reception, dinner, ICED awards and speech from ICED president, followed by a celebration of dancing, karaoke, and a photo booth.
When is it? Thursday, June 7th. Buses will leave the hotel for the aquarium at 3:30pm. The event is at the aquarium from 5:00pm to 9:00pm.
Where is it? The Oceans Ballroom at the Georgia Aquarium - 246 Ivan Allen Jr Blvd NW, Atlanta, GA 30313
Is it included with my conference registration? Yes! This event is included with each conference registration. If you would like to bring a guest, they will need to purchase the meals-only guest ticket in order to attend.
What is the dress for the event? Business or dressy casual attire is encouraged.
Can I bring my bag? Yes. However, all bags will be subject to a security check performed by aquarium staff upon arrival so please keep belongings to a minimum.
Do I have to take the bus or can I travel separately? You are not required to take the provided bus to the aquarium or back to the hotel. However, you will need to pay for your own parking in the aquarium parking garage if you need parking. When arriving at the aquarium, please make sure to follow signs for the Oceans Ballroom entrance within the parking garage at 246 Ivan Allen Jr Blvd NW, Atlanta, GA 30313. You will be denied access at the main entrance.
